What we collect
When you use our contact or newsletter forms we collect your name, email address, message content and any consultation preferences you provide (such as preferred call date or service type). Server logs may record IP address and browser type for security. If you become a client, additional fact-find data is collected under a separate privacy explanation in your engagement pack.
Purposes and lawful bases
- Responding to enquiries — legitimate interests in operating a financial advice practice, and steps prior to a contract where an engagement is likely.
- Newsletter updates — consent, which you may withdraw at any time.
- Site security and abuse prevention — legitimate interests.
- Legal and regulatory duties once you are a client — legal obligation.
Retention
Enquiry emails and form submissions that do not become clients are ordinarily kept for up to twenty-four months, then deleted or anonymised unless a complaint or legal hold requires longer. Newsletter addresses are kept until you unsubscribe. Client files follow regulatory retention periods for financial advice records, typically at least five years after the end of the advice relationship.
Sharing
We use email and hosting providers who process data on our instructions. We do not sell personal data. We may share information with professional advisers (solicitors, accountants) when you ask us to, or with regulators when required by law.
International transfers
Our primary operations are in Great Britain. If a processor stores data outside the UK, we require appropriate safeguards such as UK International Data Transfer Agreements or adequacy regulations where available.
Your rights
Under UK GDPR you may request access, rectification, erasure, restriction, portability where applicable, and objection to processing based on legitimate interests. You may complain to the Information Commissioner’s Office. To exercise rights, email hello@process-intel.digital.
